Corporate Housing in Tokyo: Costs, Contracts & Company Approval
Booking a Tokyo assignment? Compare the full housing cost, separate deposits from expenses, and collect the details HR and finance need before approving a stay.
Written by Hive Heaven

To choose corporate housing in Tokyo, compare the full cost for the employee’s exact dates, the room they will occupy, the daily commute and the paperwork your company requires. A low monthly headline price is only one part of that decision. Refundable deposits, cleaning, utilities, payment timing and an uncertain project end date can change which option works best.
This guide is for HR teams, relocation coordinators and employees arranging a Tokyo assignment of roughly one to three months. It shows how to turn several different-looking quotes into one clear decision. For stays of 29 nights or more, HIVEN’s furnished residences in Kinshicho are one option to include in that comparison.

What counts as corporate housing in Tokyo?
Corporate housing describes the purpose of a stay: accommodation arranged for an employee, assignee or project team. Providers may deliver that through a serviced apartment, a furnished monthly apartment, an apartment hotel or another residence format. The label alone does not tell you the cleaning schedule, contract type or payment arrangement.
Search more than one phrase when building a shortlist. “Corporate housing Tokyo” can surface business-focused providers, while “serviced apartments Tokyo” and “furnished apartments Tokyo” can reveal suitable rooms that are marketed to a wider audience. Then ask the same questions of every provider. Comparing the written offer is more useful than comparing the category name.
How much will the whole assignment actually cost?
Start with one fixed request: arrival date, departure date, number of occupants and the exact office address. Ask each provider for the total accommodation charge for those dates. A calendar month, a 30-night illustration and a monthly billing cycle are not automatically the same period.
Then request an itemised answer covering the base stay charge, mandatory cleaning, utilities, internet, any applicable taxes and compulsory administration charges. Keep optional services on a separate line so an airport transfer or extra cleaning does not disappear inside the comparison.
Finally, record the amount payable before arrival. A refundable deposit affects cash needed today even when it is not a final expense. A card authorisation is also different from a charge. Ask when funds are taken, when any eligible refund is processed and what deductions may apply.
The useful number is the cost of the whole assignment—not the smallest number on the first page of a quote.
What does a like-for-like comparison look like?
Consider two invented offers for the same 60-night stay. Offer A charges ¥400,000 for accommodation, ¥30,000 for mandatory cleaning and ¥20,000 for utilities: ¥450,000 altogether. Offer B charges ¥440,000 for accommodation and ¥10,000 for cleaning, with utilities included: also ¥450,000. These figures explain the calculation; they are not Tokyo market averages or HIVEN prices.
If Offer A additionally requires a ¥50,000 refundable deposit, its initial cash requirement becomes ¥500,000. Its accommodation cost has not automatically become ¥500,000. Finance needs both figures, plus the deposit conditions, to make a sensible comparison.

Which documents should HR and finance request?
Before anyone pays, ask your company what must appear on its paperwork. A receipt suitable for an individual traveller may not meet an employer’s internal approval process. Give the provider the required company name, billing address and reference or purchase-order details before booking.
Your approval pack should answer these questions: Who signs the agreement? Who pays? Who occupies the room? What are the confirmed dates? Which charges are included? What happens if the assignment changes? Who is the support contact? Attach the exact room description and the current change and cancellation terms.
Ask whether the provider can meet your requested invoice format, payment method and payment deadline. Do not treat a “corporate inquiry” page as confirmation of consolidated billing, deferred payment, a company lease or a tax outcome. Obtain written confirmation for the arrangement your employer actually needs.
What if the project finishes early or runs late?
Plan the two awkward cases before they become urgent. If the project ends early, which charges remain due and how is notice given? If it runs late, can the same room be extended, when must you ask and what rate will apply? Availability and the signed terms determine the answer.
For a project with uncertain dates, compare the total cost and disruption of a shorter confirmed stay plus a possible extension against a longer initial commitment. Neither approach is automatically cheaper. A room move halfway through a deadline-heavy week is a real operational cost, even when it does not appear on an invoice.
Keep one person responsible for date changes and one written record of the provider’s confirmation. An employee’s conversation about staying longer is not the same as a confirmed extension.
How should you judge the location for a working month?
Use the office entrance, rather than the district name, as the destination. Check the walk to the station, train transfers, arrival time and final walk. Then repeat the exercise for the journey home. The best route for a meeting at noon may be different from the one an employee takes each morning.
Kinshicho is worth investigating if the employee’s regular destinations suit its rail connections. Tokyo Metro lists Kinshicho on the Hanzomon Line. Use its official journey planner for the actual route and current service information; do not assume one Tokyo neighbourhood is convenient for every office.

What can HIVEN help a company arrange?
HIVEN currently offers Residence bookings from 29 nights. Its public corporate service covers housing inquiries and practical arrival and occupancy coordination, with the scope, schedule and cost confirmed after inquiry. Send the company’s requirements early so the proposal can address them.
If an airport transfer is needed, HIVEN can help arrange it through a partner company. Confirm the vehicle, passenger and luggage capacity, arrival details, availability and price. It is not a promise of a complimentary pickup promotion.
Cleaning also deserves a precise line in the proposal. HIVEN’s current services page describes one complimentary move-in visit and further cleaning available on request through S.Y.K. Do not budget on the assumption that recurring weekly cleaning is automatically included.
What should your first housing inquiry say?
Use this starting point: “We are arranging accommodation in Tokyo for [number] employee(s), from [check-in] to [check-out]. The office is at [address]. Please quote available room options and the total compulsory cost for these dates. We also need confirmation of the contracting party, payment schedule, requested invoice details, cleaning scope, deposit conditions and extension process.”
Add essential requirements rather than a long wish list: separate sleeping arrangements, a particular work setup, step-free access or an arrival outside ordinary hours. Ask for confirmation before treating any of them as included.

Frequently asked questions
Is corporate housing only available through an employer?
The term describes a use case, but providers set their own booking rules. An employee may be able to book personally and claim reimbursement. Confirm who can contract and pay, then check whether the employer accepts that arrangement.
Are serviced apartments always more expensive than monthly apartments?
There is no reliable answer from the label alone. Compare the same dates and occupancy, including mandatory fees and the services you will actually use. A lower base charge can become a similar total once extras are added.
Can a company get an invoice from HIVEN?
Send the required company and invoice details through the corporate inquiry before booking. Confirm that the proposed payment and documentation process meets your employer’s requirements; customised billing should not be assumed.
Does every corporate stay require a deposit?
No universal rule applies across providers. HIVEN’s FAQ says a deposit may apply depending on the listing. Read the quote and booking terms, including any card-backed charges, rather than assuming either a deposit or a deposit-free stay.
Can several employees stay together?
Only if the selected room’s permitted occupancy and sleeping arrangements suit the group. Give the provider the number of people and whether bedrooms must be separate. For multiple rooms, request each unit’s availability and charges.
Can an assignment stay be extended automatically?
Do not assume automatic extension. Ask about the notice process, availability, any room change and the price for the extra dates. Treat an extension as confirmed only when the provider confirms it.
Does HIVEN accept a two-week corporate stay?
The current public Residence booking minimum is 29 nights. The shorter Stay product is described as coming soon in the FAQ. Check the current booking information before planning a shorter visit.
