• Processing and confirming reservations, check-in/check-out, and related communications
• Payment processing, security deposits, recurring rent, invoices, and refunds via Stripe and related services
• Account registration, profile management, identity verification, and fraud prevention
• HIVEN Shop orders, pickup coordination, and order-related support
• Customer support, operational improvement, and service quality surveys
• Marketing communications where you have opted in (you may withdraw consent at any time)
• Compliance with laws such as the Act on Prevention of Transfer of Criminal Proceeds and responses to lawful requests

2. Provision or Disclosure to Third Parties

We do not sell your personal information. We may provide or disclose personal data in the following cases:

• To service providers (e.g., Stripe for payments, Supabase for hosting and data storage, email delivery providers) who process data on our behalf under appropriate contracts
• When you have given consent
• When required by courts, regulators, or other authorities under applicable law
• When necessary to protect life, body, or property and obtaining consent is difficult

3. Outsourcing of Personal Information Handling

We may outsource handling of personal information to business partners who have agreed to appropriate confidentiality and security obligations, solely to achieve the purposes described above.

We implement organizational, technical, and physical safeguards appropriate to the risk. When personal information is processed in foreign countries, we review applicable protection standards and require contractors to maintain adequate security.

5. Use of SSL

When you submit personal information through forms on this sitio web (such as inquiries, reservations, or account updates), we use TLS/SSL encryption where supported to help protect data in transit over the Internet.

6. Compliance and Policy Updates

We comply with Japanese laws and regulations applicable to personal information we hold, including the APPI. We may revise this policy as needed; material changes will be posted on this sitio web with an updated effective date.

8. Identity verification

Before check-in we may ask you to complete identity verification through Stripe Identity. Accepted documents are a foreign passport or a Japanese domestic ID (driver's license, the front of a My Number Card, or a residence card). We collect this for check-in and fraud prevention. Companion guests on the same booking may receive a verification link. We do not collect your My Number (the 12-digit personal number). If you use a My Number Card, photograph only the front; never photograph the back.

9. Retention

We keep personal information only as long as needed for bookings, payments, and tax or other legal duties, then delete or anonymize it. Identity-verification images and related ID data are purged 365 days after verification (the retention window used in our systems). We do not apply a single multi-year catalog period to all data.

10. Overseas processors

El following processors may handle personal information outside Japan. We review applicable protection standards and require contractual safeguards: Stripe (card payments, security deposit charges and refunds, recurring rent, and Stripe Identity); Supabase (application hosting and data storage); Resend (transactional email); Vercel (application hosting). We do not list vendors we do not use, and we do not name processing countries we cannot confirm.

11. LINE and WhatsApp

Where LINE or WhatsApp appear as contact channels (for example in the site footer or district support), inquiries you send on those services are handled on LINE or WhatsApp. Their servers may be outside Japan. This does not mean we store those chat transcripts in our own database.
